This notice explains how System Fieldpoint uses personal data when you write to us, commission a reporting pack, or visit this website. It should be read with the cookies page.
Data controller
System Fieldpoint, 98 Withers Close, Allerton, L18 4UN, United Kingdom, is the controller for enquiry data and for the personal data contained in files you send (for example names on invoices or broker contacts). Email: hello@system-fieldpoint.click. Telephone: 07981246520.
What we collect
From the contact form and email: name, email address, optional EORI, period and lane notes, and the message. From commissioned work: declaration extracts, commercial documents, and the names of people you ask us to meet. From the site: technical logs the host may keep, and cookies as described on the cookies page if you accept analytics.
Why we hold it
We use enquiry data to reply and to quote. We use files you send to prepare the document you instructed. The legal bases we rely on are steps toward a contract, our legitimate interest in running a reporting practice, and compliance with record-keeping expected of a UK professional service. We do not sell lists of traders.
Retention
Unsuccessful enquiries are kept for up to 18 months. Working files and issued packs are kept for seven years after the last invoice on that entity, unless you ask us to return or destroy papers earlier and no law requires a longer hold. Accounting records follow UK company and tax rules.
Your rights
Under UK GDPR you may request access, correction, erasure, restriction, objection, or portability where those rights apply. You may complain to the Information Commissioner’s Office. We will need enough information to identify you and the entity the files belong to; extracts often contain third-party names we cannot rewrite on demand.
International transfers
We work from the United Kingdom. If a video meeting or email provider stores a copy outside the UK, we use providers that offer an appropriate safeguard (such as the UK extension to the EU–US Data Privacy Framework or standard contractual clauses) for that transfer.
Sharing
We share data with the email and hosting firms that carry this site, with our accountant as needed for invoices, and with a broker only when you instruct a handover in writing. We do not lodge your files with HMRC.
